Privacy notice

How Deal Flow collects and uses personal data on this website and in the course of providing its service.

1. Who we are

Deal Flow provides sales execution services to business customers. For the personal data described in this notice, Deal Flow acts as the data controller.

The controller is Kleos Estate s.r.o., IČO 29894735, registered at Žitná 610/23, Nové Město, 110 00 Praha 1, Czech Republic. No data protection officer is appointed; enquiries should go to the address above.

2. What we collect

Information you give us

When you submit the contact form or email us, we collect the details you provide: your name, company, work email address, role, sales team size, and the description of your sales process that you choose to share.

Information collected automatically

Our hosting provider processes standard server log data — IP address, browser type, pages requested and timestamps — for security and reliability. This site does not run advertising or cross-site tracking.

Business contact data used in the service

When providing the service to a customer, we process business contact information about people at prospective customer organisations — typically name, role, employer and professional contact details, drawn from public sources and from the customer’s own CRM. For this processing we act on the customer’s instructions as a processor, under a separate data processing agreement.

We do not sell personal data, and we do not use the details you submit through this site to add you to a marketing newsletter.

4. Who we share it with

We share personal data only with service providers who process it on our behalf under contract, including:

  • our website hosting provider;
  • the form delivery service that forwards contact form submissions to our inbox;
  • our email, calendar and CRM providers;
  • professional advisers and authorities, where we are legally required to do so.

Where a provider processes data outside the European Economic Area, we rely on an approved transfer mechanism such as the European Commission’s Standard Contractual Clauses.

The providers involved in operating this website are:

  • Netlify — hosting for this site, and standard server logs;
  • FormSubmit — delivery of contact form submissions to our inbox;
  • Google Fonts — typefaces served to your browser, which discloses your IP address to Google;
  • WEDOS — the mailbox behind info@dflow.cz.

5. How long we keep it

  • Enquiries that do not become customers: up to 24 months from last contact, then deleted.
  • Customer records: for the duration of the contract and as required afterwards for legal and accounting purposes.
  • Server logs: a short retention period set by our hosting provider.

6. Your rights

Under the GDPR you have the right to request access to your personal data, correction of inaccurate data, erasure, restriction of processing, portability, and to object to processing based on legitimate interests. Where processing is based on consent, you may withdraw it at any time without affecting processing carried out before withdrawal.

To exercise any of these rights, email info@dflow.cz. We respond within one month.

If you believe we have handled your data improperly you may lodge a complaint with the Czech data protection authority, the Office for Personal Data Protection (Úřad pro ochranu osobních údajů), uoou.gov.cz.

7. Cookies

This website does not set advertising or cross-site tracking cookies, and does not use a consent banner because none is required for the cookies it sets. If analytics or marketing cookies are added later, this notice will be updated and consent will be requested before any such cookie is set.
